Overview
The Contract Package Maintenance screen allows the user to create and set up basic Packages details for the Project. Contract Packages are essentially the planning process for Projects Procurement. It is to break down a large Project into a series of work packages suitable for obtaining tenders and placing orders with the procurement sections; thereby, allowing the tasks to be delegated to various Project Roles and transferring the security for delivering some elements of the works to others.
There are three Package Categories (procurement sections):
- Consultants
- Contractors
- Suppliers
Screen Explanation
Packages List - Table view
Packages of Packages show all current Packages and their corresponding details.
Field/Column/Icon | Description |
---|---|
Project Filter | Project selection to filter the Packages by Project. |
Create New Package Icon | Click to create a new Package. |
Export to Excel | Allows exporting the list of Packages into an Excel file. Once the export icon is clicked, an Excel file will be created and automatically downloaded to your local computer. |

Quick Search | Searches for Package Code and Description. |
Discipline | Use to filter the Packages by Discipline. |
Awarded To | Use to filter the Packages by the selected Company in Awarded To field. |
Stage | Select from the nine stages of Packages:

Major Type | Filter by Major Type. Select from three options - Consultants, Contractors, or Suppliers |
Search Icon | Use to take on the search process. |

Package | Displays the Package code which is unique to a Project. |
Description | Displays the Package description. |
Discipline | Displays the selected Discipline for the Package (if any). |
Awarded To | Displays the Company set in Awarded To field of the Package record. |
Stage (Status) | Displays the current status of the package. There are nine stages:

Responsible Person | Displays the Responsible Person for the Package. This is linked to Contacts. |
Major Type (Package Category) | Displays the Package category' there are three Major Types:

Edit Icon (blue pen) | Use to edit Package details, it displays a pop-up and populates with details of selected Package |
Delete icon (red x) | Use delete Package(s) that is not yet linked to a Document. |
Package Setup Screen - Create New Package
Field/Column/Icon | Description |
---|---|
Project | Displays the Project equal to the selected Project in the Project Filter field. |
Package Code | The package Code is unique for to Project. This field can be entered into up to 15 characters. |
Discipline | Discipline inherit from the Package, i.e., Discipline defaults to what has been linked to the Package. Package decides the Discipline with 1-1 relationship. This field is not mandatory. |
Description | Free-text field that can be entered up to 60 characters. |
Awarded To | Allows Company to be saved to the Package screen. This is a non-mandatory field. This field links the selected Contact to the Package. The Package selection is restricted to the Company who the Package is 'Let' to. |

Responsible Person | Contact lookup where displayed contacts should only come from a valid Project Role Setup against the selected Project |
Save | Use to save entered Package details. |
Cancel | Use to Cancel the entered details or the modifications. |
Added Discipline to a Package is with 1 - 1 relationship. Discipline defaults from the selected Package. However, If a Package is not linked to a Discipline, then the Discipline field in the Document form entry is editable and the User can manually select it from the dropdown list.
The Company who the Package has been 'Let' to filter the display of linked Package(s) in the field. Note that a Company can have more than one Package.

Rules:
- For a Register where both From and To are configured, if From has at least one Package, then use From to filter the Packages by, ELSE find the first To Company contact record which as a Package and use that Contact to filter the Packages by
- When there is only one package for the selected Company, display automatically the Package in the field.
- For a Register where only the 'From' field is configured (e.g. Drawings), the Packages should be filtered by the company selected
- For a Register where the selected Contacts have no Package, then ALL packages can be viewed in the drop-down list.
- When a Package is added to a Document, if the Discipline is set, default the document's Discipline field to the Discipline set against the Package

4 - Both the Companies in the 'From' and 'To' fields have assigned Package(s) | When both From and To are configured with Package(s), if From has at least one Package, then Package of Company in From will be displayed |
5 - The company in the 'From' field has no assigned Package but the multiple Companies in the 'To' field were all assigned with Package(s) | Will display the Package(s) of the first Company entered in the 'To' field |
6 - For a Register where only From field is configured | Package(s) will be filtered by the selected Company in From field; if there's no assigned package, then will display all Packages in the field |
