What to check and action BEFORE you Release Tender

Please refer below to a simple checklist of items to check, action and complete before setting your Contract Package Stage = Tender Released.

Contract Package Pre-Release Checklist

Preparation – Checking and Tasks:

  1. Check Package Code, Discipline (if adding), and Scope (as this goes out on invitation email)

  2. Assign and check Tender Security tab contains all Users from your Organisation that need to view the Package Documents (outbound and inbound)

  3. Ensure Actual Tender Call and Close Dates INCLUDING the time are correct (as impacts access for Tenderers)

  4. Check all Tenderers are added correctly to Tenderer List & Access tab (with correct emails) and all are at Tenderer Status = ADDED

  5. Check Tender Collections Tab has all Document Attachments loaded

  6. Have pre-release meeting to ensure all stakeholders are prepared and Tender Collections Tab is all correct

  7. Create Tender Transmittal from Tender Collections tab (selecting all Document Attachments to go out in this first Transmittal Issue)

  8. Check ALL Tenderer COMPANIES are correct in the TO Field (these will be auto populated from the Tenderer List)

  9. Enter any remarks to highlight on Tender Transmittal Output Form (text box on Tender Transmittal (optional)

  10. Set Transmittal to ISSUED (or other Published Status)

  11. AFTER saving the Transmittal with a Published Status - Select option to GENERATE & SAVE Output Form (this provides PDF transmittal cover sheet that will be included as part of downloaded attachments)

Release Tender

 12.   Set Contract Package Stage = TENDER RELEASED (this will send Tender Invitation Emails and Account Activation Emails)

Well done - its Released and available to the Tenderer’s via the Tenderer Portal - once the Actual Tender Call Date & Time is reached.
